Detect
Prospect signals are captured through two complementary layers. SalesIQ monitors visitor behaviour passively - tracking returning visitors, page dwell time and navigation patterns without any friction. Concierge engages the visitor actively in conversation, qualifying their intent and capturing structured information before a form is submitted. Both streams feed the same pipeline entry point.

Identify
The moment a form submission arrives, Zoho Flow triggers a call to the Claude API. Claude analyses all submitted data and generates a Prospect Intelligence Brief - a structured report covering sector classification, platform detected, qualification score, estimated project value, key signals, GEO opportunity rating, recommended approach, community flags and priority level. The brief is written to the CRM record and emailed to the practitioner within seconds of the enquiry landing.

Locate
A human visits and inspects the prospect's website. Findings are recorded directly on the CRM enquiry record - confirming or correcting the platform detected by Claude, noting structural observations, and capturing anything the automated brief could not see. This is the first hard human gate in the pipeline. Nothing moves to Track until Locate is complete.

Track
Zoho Flow searches the CRM for existing Contact and Account records matching the prospect's email, name and website. If a match is found, any discrepancies between the new submission data and the existing record are flagged in a CRM note and an alert email - not silently overwritten. If no match exists, a Contact, Account and Deal are created and linked. The pipeline now has a clean, deduplicated record to work from.

Target
When the human marks the prospect as genuine and ticks the Generate Targeting Brief checkbox, a second Claude API call fires. Claude fetches up to five pages of the prospect's website, analyses the content, and produces a Targeting Brief - a strategic assessment of their current position and where intervention would have the most impact. It also produces a full Review Draft: a structured, personalised HTML document laying out how things are now and how they could be, ready for the human to review.

Engage
The Review Draft is read, edited if needed, and sent manually by a human. This is the second hard editorial gate. MavenFlow never sends outreach automatically. The practitioner reads the brief, adjusts the tone or emphasis if appropriate, and sends it as a deliberate, considered action. The intelligence does the preparation. The human makes the approach.

When a Deal is marked Closed Won or Closed Lost in the CRM, Zoho Flow fires an assessment prompt. Decision time in days is calculated and recorded. The practitioner receives a structured outcome checklist prompting them to record the reason, sector, platform, value and any pattern notes. Over time this builds the intelligence layer that makes future Identify and Target steps richer - the system learns from every outcome, won or lost.

How White Media builds and runs MavenFlow.
MavenFlow runs inside Zoho One - CRM, Flow, Forms, Mail and SalesIQ - connected to the Claude API. It can be implemented for White Media clients on their own Zoho One subscription, or as a managed system maintained by White Media.

CRM architecture
A custom enquiry module is built inside Zoho CRM with standardised field sections covering record info, contact details, submission data, Claude intelligence outputs, MKC actions, inspection notes, targeting content and outcome tracking. Every enquiry type gets its own module. Contacts, Accounts and Deals are created and linked automatically.

Flow automation
Four Zoho Flows handle the pipeline: PIB generation on new record creation, Genuine Prospect processing for CRM record creation and enrichment, Targeting Brief and Review Draft generation on human trigger, and Assess on deal closure. Every Flow carries loop protection to prevent runaway automation.

Claude API integration
Prospect Intelligence Briefs and Targeting Briefs are generated via the Claude API using carefully structured system prompts that establish the practitioner profile, billing context and output format. Review Drafts are produced as clean HTML fragments ready for direct use. API cost at typical small business enquiry volumes runs at approximately £3-5 per month.

Human gate and validation
A CRM validation rule blocks the Generate Targeting Brief checkbox from being saved unless Prospect Status is set to Genuine. This prevents Flow 3 firing on unqualified records. Engage is always manual - MavenFlow never sends outreach without a human reading and approving it first.

Pattern intelligence layer
After 60 to 90 days of live data, Platform and Sector ontology modules are built to accumulate pattern intelligence - win rates, typical project values, common objections and GEO readiness by sector and platform. This data is fed back into future PIB prompts so the system generates richer briefs as it learns.
